Signatures, Templates & Snippets

Signatures, Templates & Text Snippets

DodaMail provides a comprehensive suite of templating and automation tools to streamline repetitive communication. You can design account-specific HTML signatures, build reusable response templates with dynamic placeholders, and use inline text expansion snippets.

1. Signatures Manager (SignatureModal.tsx)

Navigate to Settings -> Signatures or click the signature dropdown in the Composer to manage signatures. DodaMail lets you define multiple signatures and map them automatically to specific email accounts.

Control-by-Control Breakdown of the Signature Editor

Control Name Control Type Default Value Description & Purpose
Signature Name Text Input Empty A descriptive identifier for this signature profile (e.g., Corporate Standard, Support Team, Informal Mobile).
Associated Account Dropdown Selector All Accounts Designates which email account uses this signature by default. When composing from this account, the signature inserts automatically.
Default for New Messages Checkbox Unchecked When enabled, automatically inserts this signature into fresh outgoing messages.
Default for Replies & Forwards Checkbox Unchecked When enabled, automatically attaches this signature when replying to or forwarding existing conversations. Many users prefer a shorter signature for replies.
Rich Text Editor Canvas WYSIWYG Editor Empty Full formatting canvas supporting custom fonts, bold/italic styles, hyperlinks, divider rules, phone numbers, and embedded company logos or badges.
HTML Source Mode Toggle Code Toggle (</>) Visual Mode Switches between visual formatting and raw HTML editing for inserting customized table structures, inline CSS, or social media icon grids.
Live Preview Pane Preview Window Real-time Renders the signature exactly as it will appear inside the recipient’s email client.
“Save Signature” Primary Button Enabled Commits the signature configuration to the local SQLite database.
“Delete Signature” Danger Button Enabled Removes the selected signature profile.
“Cancel” Dismiss Button Enabled Discards unsaved edits and closes the editor.

2. Response Templates (TemplatesSnippetsModal.tsx & TemplateDrawerModal.tsx)

Templates save you from re-typing identical emails (such as onboarding instructions, sales follow-ups, or meeting requests).

Template Editor Controls

Control Name Control Type Description
Template Title Text Input The internal name for your template (e.g., Client Welcome & Next Steps).
Category Dropdown Selector Organizes templates into folders: General, Sales, Support, Engineering, or Legal.
Subject Template Text Input Pre-populates the subject line when applied. Supports dynamic variables (e.g., Welcome to {{company}}, {{name}}!).
Body Canvas Rich Text Editor The full template message body.
Dynamic Variable Chips Clickable Badges Clicking any chip automatically injects that placeholder tag at your cursor position:
  • {{name}}: Recipient’s display name or first name.
  • {{email}}: Recipient’s email address.
  • {{company}}: Recipient’s organization parsed from contacts.
  • {{date}}: Today’s formatted calendar date.
  • {{sender_name}}: Your configured display name.
  • {{sender_email}}: Your sending email address.
“Save Template” Button Primary Action Saves the template into the local database.
“Delete Template” Button Danger Button Deletes the template.

Inserting Templates in the Composer

Click the Templates Drawer Icon in the composer toolbar to open the slide-out drawer:

  • Search Box: Type to filter templates by title or category.
  • “Insert at Cursor”: Inserts the template text at the current cursor position.
  • “Replace Entire Draft”: Completely updates the Subject and Body with the template’s contents, replacing existing draft text.

3. Text Snippets & Quick Expansion (SnippetsManagerModal.tsx)

Snippets allow you to define brief trigger keywords (e.g., ;thx, ;zoom, ;cal, ;addr) that instantly expand into full paragraphs or links while typing inside any text area.

Control-by-Control Breakdown of the Snippet Manager

Control Name Control Type Description
Snippet Trigger Text Input The short keyword you type to invoke the snippet. Best practice is to prefix with a semicolon or colon (e.g., ;meeting, ;zoom, ;intro).
Expanded Text Multi-line Textarea The complete text, link, or paragraph that will replace the trigger. (e.g., https://zoom.us/j/123456789 (Passcode: 9876)).
Auto-Expand Trigger Condition Dropdown Selector Specifies when expansion should execute:
  • On Spacebar: Expands immediately after typing the keyword followed by a space.
  • On Tab Key: Expands when pressing Tab after the keyword.
  • Instant: Replaces the text the instant the final character of the keyword is typed.
Interactive Test Box Live Textarea Input A sandbox typing area. Type your snippet trigger here to verify real-time expansion behavior before saving.
“Add Snippet” Button Primary Button Saves the snippet to your active profile.
Snippet Directory Table Data Table Lists all configured snippets with their triggers, expansion previews, and action buttons for Edit and Delete.
